The platform stores Protected Health Information on your behalf, including patient names, dates of birth, contact information, and clinical documentation, and NoTyme operates as your business associate under HIPAA. A Business Associate Agreement is provided and signed during onboarding, as a condition of use. Clinical content and patient identifying information are encrypted at rest and in transit, and access to patient records is logged. Patient names, dates of birth, and contact details are never sent to the service that helps generate your documentation or draft appeal arguments. The BAA does not relieve you of your own HIPAA obligations as the covered entity.
You are. Every note requires practitioner confirmation before it is saved. The platform generates documentation from your inputs, but you review and sign off on every note before it is finalized, and that same signed record is what the claim is built from.
Yes. The platform runs on dedicated infrastructure behind Cloudflare with full SSL encryption. All data is transmitted over encrypted connections, clinical content and patient records are encrypted at rest, and there is an audit log of access that cannot be altered or deleted.
Three parts. A one-time setup fee covers practice, payer, and clearinghouse configuration, sets up your practice website and Google Business Profile, and defines the scope of your account. A recurring platform fee, billed monthly or annually, covers running the system itself. And a percentage of the revenue actually collected through NoTyme covers claim creation, tracking, payment posting, and denial follow-up, so that part of the cost moves with what the platform brings in. Yes. The calendar, patient self-booking, appointment reminders, return-visit recall, a waitlist, and lobby self check-in are all part of the platform. Self-booking and each reminder type are off until you turn them on. Scheduling shares the same patient record as documentation and billing, so a booked visit carries straight through to the note and the claim.
If you turn on the optional patient portal, patients sign in with a one-time email code, with no password to manage, and can view upcoming appointments, their balance and statements, and signed documents, request a records copy, ask for an appointment, and pay a balance by card. Card payments settle directly into your practice's own bank account. The portal shows a visit summary only, never the clinical note text.
Yes. Once a visit is signed, NoTyme creates the claim automatically and tracks it through acknowledgment and payment. Live transmission to a clearinghouse depends on your account's clearinghouse enrollment; where that isn't active yet, claim submission stays with your existing billing workflow until it is.
It surfaces in a work queue instead of going unnoticed, with the payer's own denial reason attached. When a remittance posts, any underpayment or shortfall against your contracted rate is flagged automatically. For a denial, NoTyme can prepare a draft reconsideration letter with the visit documentation attached; you review the exact letter and decide whether to send it. Appeals and write-offs are tracked to a real outcome, not just marked handled.
Commercial insurance and self-pay, plus workers' compensation and auto-injury coverage where it is validated for your state, currently California, New York, and Florida workers' compensation and New York no-fault auto. Medicare and Medicaid are not supported.
Yes. Define package plans in settings, sell one to a patient from their chart, and redeem it against self-pay visits as they come in. The visit still runs the full documentation and sign-off, and the package tracks visits used and any expiry on its own.
Yes. Where you enable it, patients can order the formulas, patents, and granules you recommend, and pay by card. The money settles directly into your practice's own account, and the orders and revenue are tracked in the same place as everything else, not a separate storefront to reconcile. You are the seller: sourcing, labeling, dispensing, scope-of-practice rules, and any sales tax are your responsibility. NoTyme does not choose or recommend products and does not dispense.
No. It is a documentation, billing, and revenue-cycle platform. It does not practice medicine, provide clinical recommendations, or submit claims on its own judgment. The practitioner retains full clinical and billing responsibility.
Your notes remain accessible for 90 days after cancellation. We recommend exporting your notes before cancelling your account.
Yes. We pay 20% of gross revenue on every referral, recurring for as long as your referral remains a subscriber. There is no cap on earnings and no limit on referrals. The program is open to billing consultants, CE providers, acupuncture educators, associations, and anyone with an audience of acupuncture professionals. Applications are reviewed manually. Learn more.
